Clinical Equipment and Delivery & Facilities Manager

The Clinical Equipment and Delivery/Facilities Manager plays a critical role in ensuring hospice clinical equipment, facilities, grounds and support infrastructure are maintained to a safe, compliant and operational standard. The role is responsible for managing the clinical equipment loan programme, coordinating delivery and collection of equipment to patients' homes, supporting maintenance of hospice facilities and vehicles, and overseeing external contractors working on hospice premises.

Reporting to the Director of Business & Innovation, this role contributes to the delivery of high-quality hospice services by ensuring equipment, facilities and support systems are available, safe, efficient and fit for purpose.

Key responsibilities

  • Organise and maintain hospice clinical equipment including storage, compliance testing schedules, general maintenance, cleaning and repairs
  • Deliver loan equipment to patients under hospice care in their private homes and collect equipment from private homes
  • Maintain Hospice buildings and essential building services and grounds to a high standard
  • Undertake daily repairs and general maintenance and repair of Hospice buildings, grounds and other plant or equipment
  • Assist with non-mechanical maintenance of all NHH vehicles
  • Ensure all non-medical equipment is electrically tested annually in compliance with NZ Safety Standards
  • Provide oversight of external contractors in consultation with Director of Business & Innovation
  • Coordinate electrical testing of all medical clinical equipment with adherence to compliance schedules
  • Maintain clean and orderly storage systems for all clinical equipment meeting health and safety requirements
  • Process equipment loans and returns in accordance with hospice procedures

About you

  • Experience in facilities management, maintenance, equipment coordination, logistics or a related field
  • Demonstrated ability to manage equipment registers, inventories or asset tracking systems
  • Practical maintenance and repair skills
  • Strong organisational and time management skills
  • Ability to work independently and prioritise competing demands
  • Competent user of Microsoft Office applications
  • Full, clean New Zealand driver's licence
  • Physically capable of safely handling and transporting equipment
  • Strong communication and relationship management skills
  • Experience within healthcare, hospice, aged care or community health environments (desirable)

Clincial Administrator Data Analyst

The Senior Clinical Administrator supports the clinical team with day-to-day administration whilst taking responsibility for extracting, analysing and interpreting data. As a PalCare Super User, you will take ownership of all clinical data reporting and providing PalCare system support for the clinical teams.

Through collaboration with Clinical Nurse Managers and Clinical Equipment and Delivery/Facilities Manager, ensure the use of North Haven Hospice loan equipment is effectively tracked and co-ordinated. Reporting to the DCS, this role helps ensure accurate information, smooth workflows and effective decision-making that supports quality care and patient outcomes.

Key responsibilities

  • Develop and maintain effective administration systems for clinical processes, including an up-to-date desk file for the role
  • Transcribe, format and send clinical correspondence promptly, ensuring accuracy and confidentiality
  • Enter patient correspondence into PalCare accurately and in a timely manner
  • Extract, analyse and interpret data from PalCare and produce regular and ad hoc reports for clinical, operational and organisational use
  • Identify trends, risks and opportunities from available data and communicate findings to relevant stakeholders
  • Validate and cleanse data to ensure accuracy and completeness and investigate and resolve data quality issues
  • Produce and distribute weekly and monthly clinical activity reports including patient clinical reports of deactivated, discharged, deceased and referred patient numbers
  • Provide user support, troubleshooting and guidance as a PalCare subject matter expert and develop and maintain PalCare user guides, procedures and training materials
  • Coordinate and maintain accurate records of equipment allocation, return and servicing in collaboration with Clinical Nurse Managers and Clinical Equipment and Delivery/Facilities Manager
  • Support equipment maintenance and compliance processes and coordinate servicing, repairs and safety checks with the Maintenance Person

About you

  • Previous experience in an administration, health administration, clinical administration, or data analyst role is highly desirable.
  • Demonstrated experience extracting, analysing and interpreting data to produce meaningful reports and insights desirable.
  • Advanced proficiency in Microsoft Excel, including data manipulation, reporting and analysis essential.
  • Strong written communication skills with proven experience preparing professional correspondence, reports and documentation essential.
  • Ability to learn and become a subject matter expert in specialised software systems essential.
  • Strong stakeholder relationship management skills with the ability to work collaboratively across multidisciplinary teams desirable.
  • Excellent problem-solving and analytical skills essential.
  • Competent user of Microsoft Office Suite (Word, Excel, Outlook, Teams) essential.

About the Role & Your Impact

North Haven Hospice provides high quality care to people living with a life limiting or life-threatening conditions across the Whangārei and southeast Kaipara Districts. Our care is provided across all settings – including the home, outpatient clinics, Whangarei Base Hospital and within our specialist North Haven Hospice Inpatient Unit.

We walk alongside the hospital, and the wider service that patients are engaged with. We work collaboratively with our communities and have an amazing team of specialist doctors, nurses, therapists, family support staff and volunteers.

Our Community Nursing Service is often the first point of contact with the Palliative care services of North Haven Hospice, and we aim to provide high quality nursing care and wrap around services, utilising our resources within North Haven Hospice. Within the greater Whangarei locality our community nursing team provide all aspects of community nursing services, in addition to psychosocial and advisory support.  

Key responsibilities include:

  • Undertaking comprehensive nursing assessments and developing holistic care plans in partnership with patients and their whanau in their homes.
  • Demonstrating advanced knowledge of clinical protocols, guidelines, and end-of-life care pathways, including pharmacological interventions.
  • Providing high quality specialist nursing tasks such as patient and Whanau assessment, symptom control, wound management, continence management, end of life medication management.
  • Building therapeutic relationships to support patients and whānau through challenging times, grief, and loss.
  • Contributing to quality improvement activities and fostering an evidence-based framework in your practice.
  • Honouring the Treaty of Waitangi and respecting the diverse cultural and spiritual beliefs of all people in our care.
